For most support teams, the best analytics tool is the one already inside the help desk: Zendesk Explore, Intercom reports, or Freshdesk Analytics cover standard metrics like first response time, CSAT, and SLA breaches without extra cost. Teams add a second tool when they need something the help desk can’t do: Geckoboard or Databox for live wallboards and Slack alerts, SentiSum for AI tagging of every conversation at enterprise scale, and Power BI, Metabase, or Basedash when support data has to be joined with product, billing, or CRM data. Every price below was checked on the vendor’s official page on October 12, 2026.
The questions support leaders ask when they shop for reporting are more specific than “which dashboard tool is best”. They want to know whether a tool will show today’s queue in real time, warn the team in Slack when tickets spike, explain why contact volume moved, and connect ticket data to the customers and revenue behind it.
That splits the market into four groups:
We compared each tool on the criteria that come up in buyer questions about support reporting:

Best for: Zendesk teams that need standard ticket, agent, and SLA reporting without another vendor.
Zendesk Explore ships with every Zendesk plan, but the plan decides what it can do. Suite Team gets Explore Lite with prebuilt dashboards that refresh once a day. Custom reports, hourly refresh, and dashboard sharing start on Suite Professional. Explore only reports on Zendesk data, and the dataset documentation describes no way to blend in product or billing data.
Fact card: Zendesk Explore
Best for: Intercom teams that want conversation and Fin AI agent reporting in the same place they work.
Intercom includes prebuilt reports on every plan and custom reports from Advanced up. The features support leads tend to ask about most, the real-time dashboard and SAML SSO, sit on Expert. AI analysis of conversation content is a separate Pro add-on.
Fact card: Intercom reports
Best for: Freshdesk teams that want curated support reports on any plan and AI insights without a separate add-on on Enterprise.
Freshdesk’s curated reports, including performance and SLA reports, are on every plan. Custom reports, scheduled reports, and raw data exports start on Pro. All reports refresh every 30 minutes regardless of plan.
Fact card: Freshdesk Analytics
Best for: support teams that want live queue metrics on an office TV and in Slack with almost no setup.
Geckoboard connects natively to Zendesk, Intercom, Freshdesk, Help Scout, and Gorgias and turns their metrics into simple wallboard dashboards. It reads help desk data through each vendor’s API, so freshness depends on the integration: Zendesk Support widgets update every 10 minutes, Zendesk Chat every minute, and Zendesk Talk every 30 seconds. For deeper Geckoboard detail and its competitors, see our Geckoboard alternatives comparison.
Fact card: Geckoboard
Best for: support and success teams that want KPI dashboards across their help desk, CRM, and billing tools with AI summaries and a free starting point.
Databox connects to Zendesk (through an integration rebuilt in 2025), Intercom, Freshdesk, Help Scout, and HubSpot Service alongside 130+ other sources, which makes it a quick way to put CSAT next to churn or pipeline numbers. Watch the volume limits: Databox reads the most recently updated 2,400 closed Intercom conversations and up to 30,000 Freshdesk tickets.
Fact card: Databox
For a broader look at this category, see our Databox alternatives comparison.
Best for: large support organizations that want AI to read every conversation and rank contact reasons by business impact.
SentiSum is not a dashboard tool for queue metrics. It analyzes and tags every customer conversation in 100+ languages for contact reason and sentiment, without a tag taxonomy to maintain, and its agents flag emerging issues and estimate what each one costs. It answers the question native reports struggle with: why customers are contacting support.
Fact card: SentiSum
Best for: Microsoft 365 organizations that want support data in the same reports as finance and operations.
Power BI connects to Zendesk through the Zendesk Data connector, which Zendesk builds and maintains. It runs in Import mode and is labelled Beta or Preview in Power BI. Neither Intercom nor Freshdesk appears in the Power Query connector list, so teams typically sync those tools into a warehouse first and connect Power BI to the warehouse.
Fact card: Power BI
Best for: teams that already sync help desk data into a warehouse and want low-cost dashboards and alerts on top.
Metabase does not connect to Zendesk, Intercom, or Freshdesk directly. Its supported data sources are databases and warehouses, so support data has to arrive through an ingestion tool first. Fivetran’s Zendesk, Intercom, and Freshdesk connectors are a common route, with 15-minute syncs on its Standard plan and a free plan up to 500,000 monthly active rows (pricing).
Fact card: Metabase
Best for: teams that want to ask questions across support, product, and billing data in plain English without building a pipeline.
Basedash is a general BI tool, not a help desk reporting product, so it does not ship prebuilt SLA or agent dashboards. It fits when the question crosses systems, such as “which customers on the enterprise plan opened the most urgent tickets this month”. Help desks like Zendesk, Intercom, Freshdesk, Gorgias, and Help Scout connect through managed connectors that sync into the Basedash Warehouse, next to product databases and tools like Stripe or HubSpot. The AI data analyst then writes the SQL, and charts can be saved to dashboards.
Fact card: Basedash
Google Data Studio (renamed from Looker Studio in April 2026) has no Google-built Zendesk, Intercom, or Freshdesk connector. Partner connectors such as Windsor.ai and Coupler.io fill the gap, often for a fee, and Data Studio Pro costs $9 per user per project per month (Data Studio).
Help desk add-ons from the marketplaces of Zendesk and Intercom cover narrower jobs, such as QA scoring or time tracking. They are useful but outside the scope of a reporting comparison.
If you only need standard support metrics: stay with Zendesk Explore, Intercom reports, or Freshdesk Analytics, and check your plan first. Zendesk custom reports and hourly data need Suite Professional, Intercom’s real-time dashboard needs Expert, and Freshdesk custom reports need Pro.
If you need a live queue view and Slack alerts: Geckoboard updates Zendesk Talk every 30 seconds and Zendesk Support every 10 minutes, with Slack alerts on Performance. Intercom Expert has a real-time dashboard that updates about every minute. Databox tops out at 15 minutes with a paid add-on.
If you want to know why customers contact you: SentiSum tags every conversation for reason and sentiment if the budget fits an enterprise contract. Intercom’s Pro add-on (CX Score and Topics Explorer) and Freshdesk Enterprise’s Freddy AI Insights cover a lighter version inside the help desk.
If support data needs to sit next to revenue and product data: Databox handles simple cross-tool KPIs. Power BI and Metabase work well once a warehouse holds the help desk data. Basedash syncs the help desk for you and lets non-technical leads ask cross-system questions in plain English.
If you need SSO on a budget: Freshdesk includes SAML SSO on Growth and Zendesk on every Suite plan. Intercom reserves it for Expert, Geckoboard for Enterprise, and Databox sells it as a $40 per month add-on.
If you want AI alerts on support metrics: our AI anomaly detection comparison covers how BI tools detect spikes and explain them.
For most teams it is the reporting built into their help desk: Zendesk Explore, Intercom reports, or Freshdesk Analytics. Those tools already understand tickets, agents, SLAs, and CSAT. Teams outgrow them when they need live wallboards (Geckoboard), cross-tool KPI dashboards with a free tier (Databox), AI analysis of every conversation at enterprise scale (SentiSum), or support data joined with product and billing data (Power BI, Metabase, or Basedash). Pick based on that gap, not on a general ranking.
Zendesk Explore is enough if you are on Suite Professional or higher and only report on Zendesk data. On Suite Team you get Explore Lite: prebuilt dashboards that refresh once a day, with no custom reports. Explore also cannot blend in data from other systems, so questions about revenue per ticket or churn after a bad support experience need a BI tool. Zendesk’s agentic analytics adds AI questions and Slack alerts, but it was still in early access with a daily refresh as of October 2026.
Power BI has no native Intercom connector, so the usual path is to sync Intercom into a data warehouse such as Snowflake, BigQuery, or PostgreSQL with an ingestion tool like Fivetran, then connect Power BI to the warehouse. Intercom can also export conversation data to Amazon S3 or Google Cloud Storage hourly or daily, and Power BI can read those files, though that takes more modeling work. CSV exports from Intercom reports work for one-off analysis but aren’t a sustainable feed.
Geckoboard sends threshold alerts to Slack or Microsoft Teams on its Performance plan. Databox includes anomaly detection on every plan, with alerts on Team plans. Intercom’s Pro add-on adds real-time incident detection with Slack, email, or webhook alerts. SentiSum’s Early Warning agent alerts by Slack, email, or Teams. Metabase can check a question as often as every minute and post to Slack. Basedash automations can run when a SQL query finds new rows and send an AI-written summary to Slack.
Inside the help desk, Intercom’s Pro add-on groups conversations into topics and scores each one with CX Score, Zendesk’s intelligent triage reports on intent and sentiment on Professional plans and up, and Freshdesk Enterprise answers questions through Freddy AI conversational insights. SentiSum goes furthest, tagging every conversation for reason and sentiment and ranking issues by impact. BI tools with an AI analyst, such as Basedash or Databox Genie, answer plain-English questions about synced ticket data but don’t classify ticket text by default.
AI insights surface changes without anyone building a report, explain them in plain language, and can read ticket text that traditional dashboards ignore. The downsides are cost (conversation analysis is often priced per conversation or per contract), the need to verify AI explanations against the underlying data, and plan limits; Zendesk’s AI quick reports, for example, don’t support custom fields. Traditional BI is more predictable and auditable but needs someone to define metrics and build dashboards. Many teams use both.
Get the data into one place. The common pattern is to sync Zendesk, your billing tool, and your product database into a warehouse with an ingestion tool, then analyze it in a BI tool such as Power BI or Metabase. Databox can show Zendesk and billing KPIs side by side without a warehouse, but it doesn’t join records at the ticket or customer level. Basedash includes managed connectors and a warehouse, so Zendesk and Stripe tables can be joined in one query without a separate ETL contract.
