The best reporting tool for QuickBooks Online or Xero depends on what you need to produce. Fathom, Syft Analytics, and Reach Reporting turn accounting data into management reports, consolidations, and forecasts for one company or hundreds, starting at $23 to $149 per company per month. LiveFlow and Coefficient keep the numbers in Google Sheets or Excel and refresh them on a schedule. Zoho Analytics, Databox, and Basedash are BI tools that put QuickBooks or Xero data next to CRM, billing, and product data. Power BI and Tableau no longer ship QuickBooks Online connectors, so using them now means a third-party connector or a warehouse in between. Every price and feature below was checked on the vendor’s official pages on October 10, 2026.

Start here before buying anything. Both accounting apps have improved their native reporting, and for a single company with no outside data they may be enough.
Best for: a single QuickBooks company that needs custom reports, KPI dashboards, and Excel round-tripping without another subscription.
QuickBooks Online’s top plan adds a Custom Report Builder, customizable KPI dashboards, and Spreadsheet Sync, which moves trial balance, balance sheet, and P&L data between QuickBooks and Excel. Dashboards come with prebuilt views for profitability, cash flow, receivables, payables, and revenue, and a “Generate summary” button writes an AI summary of the KPIs on a dashboard. Combining several companies in one consolidated dashboard is listed for Intuit Enterprise Suite, not Advanced.

Tradeoffs. Advanced is the cheapest way to get better reports if you already pay for QuickBooks, but the reports stay inside QuickBooks and every user needs a QuickBooks seat. Companies with several entities are steered toward Intuit Enterprise Suite, which has no public price.
Best for: small Xero customers who want cash flow, P&L trend, and KPI views without leaving Xero.
Xero Analytics is “available in all business plans at no cost.” Core features (business snapshot, short-term cash flow, P&L trends) are on every plan, and Analytics Plus, “available on the Established plan and as an add-on on other plans,” adds extended cash flow forecasting and scenario modeling. Xero acquired Syft in 2024, and its pricing page now describes “rich, visual analytics on every plan with Syft.”

Tradeoffs. Xero’s native analytics are good for an owner’s weekly check, but there is no documented multi-entity view and no way to join Stripe or CRM data. Most Xero users who outgrow it move to Syft, Fathom, or Reach.
These four tools are built for accountants, fractional CFOs, and in-house finance teams who produce monthly management reports, board packs, consolidations, and forecasts. They read the general ledger directly and price by company or entity, not by viewer.
Best for: advisors and multi-entity groups that need branded management reports, consolidations, and AI commentary across QuickBooks, Xero, and MYOB.
Fathom is a reporting, forecasting, and consolidation app for accounting data. It connects to QuickBooks Online and Desktop, Xero, MYOB, Sage Business Cloud Accounting, and FreeAgent, and imports other data from Excel or Google Sheets.

Tradeoffs. Fathom’s per-company price is low for one entity and drops steeply per company at volume, which is why accounting firms like it. Data refreshes once a day, and analysis stays within the financial statements and the KPIs you define.
Best for: small and mid-sized businesses that want consolidated reporting, forecasting, and AI commentary at the lowest published price, with a free plan to start.
Syft Analytics became part of Xero in 2024, and Xero said at the time that “Syft will continue to be available as a standalone offering … no matter who their accounting software provider is.” It still sells to QuickBooks customers. Syft’s integrations include Xero, QuickBooks Online and Desktop, Sage, MYOB, FreshBooks, and Sage Intacct (Premium), plus Stripe, Shopify, Square, Gusto, and spreadsheets.

Tradeoffs. Syft has the lowest entry price in this list and a real free plan, but its long-term roadmap is tied to Xero’s, which matters if you run QuickBooks. Check where Xero is taking “Analytics powered by Syft” inside Xero before committing a QuickBooks-based group to it.
Best for: accounting firms and CAS teams that want client-facing dashboards and portals with unlimited users.
Reach Reporting connects to QuickBooks Online, QuickBooks Desktop, Xero, MYOB, Digits, Gusto, Google Sheets, Excel, and CSV trial balance uploads. It positions itself as “built for accounting firms, advisors, and CAS teams.”

Tradeoffs. Reach costs more than Fathom or Syft for one company, but unlimited users and the client portal make it cheaper for firms that share reports widely.
Best for: in-house finance teams with several QuickBooks entities who want consolidations and budget vs. actual reports to refresh inside Google Sheets or Excel.
LiveFlow is an FP&A product that runs in spreadsheets. Its help center says it “currently integrates with Quickbooks Online, Xero, and NetSuite”, with the Xero and NetSuite integrations in beta testing.

Tradeoffs. LiveFlow suits finance teams that already model in spreadsheets and want the QuickBooks pull automated. With no public price and Xero still in beta, it is harder to evaluate than the per-company apps above.
Best for: a 1 to 5 person finance team that wants QuickBooks or Xero reports to refresh in Google Sheets or Excel, on a free or low-cost plan.
Coefficient’s QuickBooks connector imports “over 28 standard QuickBooks reports” such as Profit and Loss, plus objects and fields and custom queries. QuickBooks custom reports and QuickBooks Desktop are not supported, and only one admin can connect QuickBooks at a time. The Xero connector imports reports with comparison periods plus raw invoices, bank transactions, and contacts. Coefficient’s finance integrations page lists two-way sync for QuickBooks, so you can push new entries back.

Tradeoffs. Coefficient is the fastest fix for “we export QuickBooks reports to Excel every Monday,” but consolidation, version control, and access control stay as manual as the spreadsheet.
Best for: small companies that want a full BI tool with prebuilt QuickBooks or Xero dashboards for under $50 a month.
Zoho Analytics has dedicated connectors for both ledgers. The QuickBooks Online connector creates “50+ default reports & dashboards” on setup, and the Xero connector creates 45+. Both import data on a schedule rather than querying it live, and both are read-only.

Best for: owners and operators who want accounting KPIs on the same dashboard as marketing and sales metrics.
Databox has prebuilt metrics for both ledgers. Its QuickBooks metrics include open and overdue invoices and unpaid bills, and the metric builder works with Balance Sheet and Profit and Loss reports. The Xero metrics cover executive summary and P&L figures at monthly, quarterly, and yearly granularity, with no metric builder.

Best for: companies that want QuickBooks or Xero data joined with Stripe, HubSpot, Salesforce, or their product database, and want to ask questions in plain English instead of building reports.
Basedash offers QuickBooks and Xero connectors that sync into Basedash Warehouse, a managed warehouse Basedash provisions for your workspace. The connectors are powered by Fivetran and managed by Basedash, so you do not need a Fivetran account. Fivetran’s QuickBooks connector syncs objects such as invoices, bills, payments, and journal entries rather than QuickBooks’ formatted reports, so a P&L in Basedash is built from those tables by the AI data analyst or in SQL.

Tradeoffs. Basedash is built for questions that cross systems (“revenue by customer from Stripe against invoices in QuickBooks”), not for producing statements. Its $1,000 starting price covers up to 25 users, which is more than Syft, Fathom, or Zoho Analytics cost for a single company.
The big BI tools have stepped back from QuickBooks and Xero:
If you want one of these tools, load QuickBooks or Xero into a warehouse first. Fivetran’s QuickBooks connector syncs object tables and provides a P&L view through its QuickBooks data model; the Xero connector supports only Australian payroll endpoints. Fivetran syncs every six hours by default, and its pricing page lists 15-minute syncs on Standard. Then connect Power BI, Tableau, or another warehouse-native BI tool to BigQuery, Snowflake, or Postgres. That path adds a warehouse and a pipeline to maintain, which is why most QuickBooks and Xero companies pick a tool from the list above instead.
If you are a 20-person company using Excel and QuickBooks: upgrade to QuickBooks Online Advanced if you need custom reports and dashboards for one company, or add Coefficient (free or $49 per month) if the team wants to keep working in Excel with refreshed numbers. Move to Syft or Fathom when you need management reports, forecasts, or a second entity.
If you run several entities or locations: Fathom, Syft, Reach, and LiveFlow all document consolidation with eliminations and currency conversion. Syft and Fathom have the lowest published prices, Reach includes unlimited users and a client portal, and LiveFlow keeps the consolidation in a spreadsheet. QuickBooks’ own answer is Intuit Enterprise Suite, which is priced by contract.
If you are an accounting firm or fractional CFO with many clients: Fathom’s per-company price falls to $13 per extra company on its 50-company tier, Reach includes unlimited users and portals, and Syft offers unlimited external users. Fathom Portfolio covers lighter oversight across 100 or more clients.
If you want AI to explain variances and write commentary: Fathom’s Commentary Writer, Syft’s AI commentary, and Reach’s narrative insights write commentary on the financial statements. If you want to ask QuickBooks or Xero questions in plain English: QuickBooks has Finance AI on Advanced and AI chat in beta on lower plans, and Xero has JAX. For questions that join the ledger with other systems, Basedash’s AI data analyst and Zoho Analytics’ conversational analytics work across sources, and Databox Genie answers questions over its synced metrics.
If you want ledger data next to Stripe, HubSpot, or your product database: Basedash and Zoho Analytics both sync QuickBooks and Xero alongside other sources. Zoho is far cheaper for a small team; Basedash is built around AI questions and scheduled summaries and supports up to 25 users on its base plan.
If you are standardized on Power BI or Tableau: sync QuickBooks or Xero into a warehouse with Fivetran or another ELT tool, then connect the BI tool to the warehouse. Not natively. Microsoft’s connector end-of-support list shows the QuickBooks Online (Beta) connector ended support in August 2025 and no longer appears in Power Query. As of October 2026, the options are a third-party connector, or syncing QuickBooks into a warehouse such as BigQuery, Snowflake, or Postgres with an ELT tool like Fivetran and pointing Power BI at the warehouse. The warehouse route also lets you join QuickBooks with CRM and billing data, but you take on a pipeline and a data model to maintain.
Tableau’s help has no Xero connector page, and Tableau retired its QuickBooks Online connector in version 2025.3, so the reliable route is a warehouse. Use an ELT connector such as Fivetran’s Xero connector to load Xero into BigQuery, Snowflake, or Postgres, then connect Tableau to that warehouse. Fivetran’s Xero connector re-imports some reference tables on every sync, supports only Australian payroll endpoints, and needs a full re-sync when account codes change. Tools like Zoho Analytics, Databox, Syft, and Basedash connect to Xero without a warehouse you manage.
For most 20-person companies, the answer is to improve what you have before adding a BI platform. QuickBooks Online Advanced ($340 per month at list, up to 25 users) adds custom reports, KPI dashboards, and Excel sync. Coefficient refreshes QuickBooks reports in Excel or Google Sheets from free to $99 per user per month. If you also need CRM or ecommerce data on the same dashboards, Zoho Analytics starts at $24 per month billed annually with 50+ prebuilt QuickBooks reports. Basedash fits when the questions span QuickBooks, Stripe, and a product database, at $1,000 per month.
Inside the accounting apps, QuickBooks offers Finance AI on Advanced plus AI chat in beta on lower plans, and Xero offers its JAX assistant. Among reporting apps, Fathom, Syft, and Reach generate written commentary and flag anomalies, but natural language questions are not documented for them. Basedash’s AI data analyst answers questions over synced QuickBooks and Xero data and returns the SQL behind each chart. Zoho Analytics has conversational analytics on Standard plans and up, and Databox’s Genie answers questions over its synced metrics.

Syft consolidates unlimited entities with account-level or transaction-level eliminations and FX. Reach Reporting consolidates multiple entities and currencies using historical exchange rates. LiveFlow consolidates in 160+ currencies with intercompany eliminations and ownership percentages inside Google Sheets or Excel. QuickBooks Online Advanced has no consolidated view; Intuit lists combined multi-company dashboards under Intuit Enterprise Suite. BI tools such as Zoho Analytics and Basedash can combine entities only through your own modeling.
Native QuickBooks and Xero reports run on current data, though QuickBooks dashboard visuals update every 2 hours. Fathom and Syft refresh every 24 hours and allow a manual sync. Coefficient refreshes daily on Starter and hourly on Pro, and LiveFlow can refresh every hour. Zoho Analytics syncs QuickBooks daily on Basic, every 3 hours on Standard and up, and hourly only on Enterprise. Databox syncs QuickBooks once a day and Xero hourly. Basedash connector syncs run as often as every 15 minutes. For most month-end reporting, daily is enough; hourly or better matters for cash and collections dashboards.
Custom Report Builder, customizable KPI dashboards, Spreadsheet Sync, and Finance AI are listed on Advanced, which costs $340 per month at list price. Essentials and Plus include third-party data in KPIs and dashboards but not the full custom builder. If you would rather not upgrade every QuickBooks seat, an outside tool can read data from lower plans: Syft has a free plan, Fathom starts at $59 per company per month, Coefficient connects on its free plan, and Zoho Analytics or Databox build dashboards from the QuickBooks connector.
