For most small businesses, the best dashboard software is Data Studio (formerly Looker Studio) if your data already lives in Google Sheets and Google’s marketing tools, Zoho Analytics if you want accounting, CRM, and ecommerce data in one cheap plan, and Databox or Geckoboard if you mostly need KPI dashboards from SaaS apps like QuickBooks, HubSpot, Shopify, and Stripe. Power BI is the low-cost pick for Microsoft 365 shops, Metabase is the pick for teams that already have a Postgres or MySQL database, and Basedash fits small companies that want an AI data analyst on top of a database and can spend $1,000 a month.

This guide compares nine tools on the questions small business owners actually ask before buying: what the cheapest useful plan costs for a team of three to ten, whether the tool connects to your accounting and sales apps without a data engineer, how fresh the numbers are, what a viewer costs, and whether you can restrict who sees which rows. Every price, plan name, and feature below was checked on the vendor’s official pricing page or documentation on October 6, 2026.

How we evaluated dashboard software for small businesses

The criteria come from real buyer prompts, such as “Fastest-to-deploy dashboard software?”, “recommend a low cost BI dashboard tool with per user pricing for small teams”, “which BI software works well with Google Sheets and BigQuery for small businesses”, and “find BI tools with easy data refresh scheduling and email reports for SMBs”. Each tool was assessed on six points:

  • Price for a small team: the cheapest paid plan that lets three to ten people use and share dashboards, plus whether a free tier exists.
  • Small business data sources: native connectors for Google Sheets, Excel, QuickBooks Online, Xero, Shopify, HubSpot, Stripe, and Google Analytics 4, and whether you can also point it at a Postgres or MySQL database.
  • Time to first dashboard: whether a non-technical owner can connect an app and see a working dashboard in the first session, or whether someone has to build a data model or write SQL first.
  • Data freshness: how often data refreshes on the cheapest paid plan, and whether the tool queries live or syncs on a schedule.
  • Sharing and viewer cost: public links, TV mode, scheduled email or Slack reports, and whether every viewer needs a paid seat.
  • Access control: row-level security and SAML single sign-on, because a growing company eventually needs to show each manager or client only their own numbers.

“Native” means the vendor lists a first-party connector on its own integrations or docs page. “Partner” or “third-party” means you need a connector built and usually sold by another company, which adds a separate bill and another login.

Data Studio (formerly Looker Studio)

Best for: small businesses that live in Google Sheets, Google Analytics 4, and Google Ads and want free, shareable reports.

Google’s help center now calls the product Data Studio. The core product is free for creators and viewers, and anyone with a link can view a report without a Google account when link sharing is on. That makes it the cheapest way to send a client or partner a live report.

  • Pricing (as of October 2026): free; Data Studio Pro is $9 per user per project per month, billed monthly for every license in the subscription, used or not (pricing, Pro subscription overview). Pro requires a Google Workspace or Cloud Identity organization.
  • Free tier or trial: free forever; Pro has a 30-day trial.
  • Deployment: cloud only.
  • Data sources: Google lists native connectors for Google Sheets, Excel and CSV upload, Google Analytics, Google Ads, BigQuery, PostgreSQL, and MySQL. QuickBooks, Xero, Shopify, HubSpot, Stripe, and Meta Ads need third-party community connectors.
  • Query model: live queries cached until a freshness interval expires: 15 minutes by default for Sheets, 1 minute to 12 hours for databases. Google says Google Ads and Analytics data refreshes every 12 hours and that rate can’t be changed. Extracts are capped at 750,000 rows.
  • Row-level security: filter by email, available on the free tier.
  • SSO and SCIM: sign-in uses Google accounts; no separate SAML or SCIM settings are documented for Data Studio.
  • AI features: Gemini in Data Studio (natural-language calculated fields, preview) requires Pro. Conversational Analytics is open to all users but works with BigQuery data agents.
  • Sharing and embedding: free scheduled PDF email delivery; Pro adds Slack and Google Chat delivery and alerts. Reports embed by iframe and always carry the Data Studio watermark.
  • Not ideal for: businesses whose key numbers live in QuickBooks, Xero, or Shopify, where every paid connector adds cost and another vendor.

Zoho Analytics

Best for: small businesses that want accounting, CRM, ecommerce, and ad data in one tool for under $50 a month.

Zoho Analytics covers every small business app in this guide with a native connector, at the lowest paid price in the list. Its pricing page lists native connectors for QuickBooks Online and Desktop, Xero, Stripe, Shopify, HubSpot CRM, Salesforce, Google Analytics, Google Ads, and Facebook Ads, plus MySQL, PostgreSQL, and BigQuery.

  • Pricing (as of October 2026, billed annually): Basic $24/mo (2 users, 0.5M rows), Standard $48/mo (5 users, 1M rows), Premium $115/mo (15 users, 5M rows), Enterprise $455/mo (50 users, 50M rows). Viewers cost $80 per month for 25, billed yearly (pricing).
  • Free tier or trial: free plan with 2 users and 10K rows; 15-day trial with no credit card.
  • Deployment: cloud, or on-premises.
  • Data sources: 50+ business app connectors on Standard and above; Basic is limited to any 2 business app connectors. Google Sheets comes in through Google Drive import.
  • Query model: imports and syncs on a schedule. The pricing page lists refresh rates of 1 per day on Basic, 8 per day on Standard and Premium, and 24 per day on Enterprise. Live Connect to databases starts on Premium.
  • Row-level security: filter criteria applied when sharing a view, plus user variables.
  • SSO and SCIM: SAML 2.0 SSO through Zoho Directory; plan gating and SCIM are not documented.
  • AI features: the LLM-powered Ask Zia agent and automated insights are on Premium and Enterprise; conversational analytics starts on Standard; an MCP server is listed on all plans.
  • Sharing and embedding: public reports on all plans; password-free private links on Premium and Enterprise only; scheduled emails capped at 4, 10, 30, and 100 by plan; iframe embedding.
  • Not ideal for: teams that need hourly data on the cheapest plan, or that want the AI agent without paying for Premium.

Tradeoffs: the Basic plan’s one daily refresh and two-connector cap make Standard the realistic starting plan for most small businesses. The AI features most buyers see in demos are on Premium.

Databox

Best for: owners and marketers who want KPI dashboards and plain-language AI answers from SaaS apps, with no data modeling.

Databox connects to 130+ tools, including QuickBooks, Xero, Shopify, HubSpot, Stripe, GA4, Google Ads, Facebook Ads, Salesforce, and databases such as MySQL, PostgreSQL, BigQuery, and Snowflake. Databox ships pre-built metrics and templates for these apps, so a non-technical user can connect an account and fill a dashboard without writing SQL.

Databox does not charge per seat; each plan includes a set number of users and a monthly pool of AI credits.
  • Free tier or trial: free plan with 1 user, 3 data sources, 1 dashboard, and daily sync; 14-day trial of any plan with no payment details.
  • Deployment: cloud only.
  • Data sources: each account or property counts as one data source, so three GA4 properties use three. Google Sheets, Excel, and database connections are “custom data integrations”, which are not on the Free plan.
  • Query model: scheduled sync, not live. Hourly on paid plans, with a 15-minute sync add-on at $14/mo annually. Databases support custom SQL datasets whose results are imported.
  • Row-level security: not documented. Access is set per data source and per dashboard, and Databox notes users without data source access may still see dashboards built from it.
  • SSO and SCIM: SAML 2.0 through the Advanced security add-on ($40/mo annually); SCIM provisioning is not supported.
  • AI features: Genie, an AI analyst you question in plain language, plus AI performance summaries and anomaly detection, on all plans including Free (metered by AI credits). The MCP server starts on Analyst; Genie in Slack starts on Team.
  • Sharing and embedding: sharing starts on the Team plans: public links (password or IP locked), TV mode, website embeds, and scheduled snapshots to email or Slack (share a Databoard).
  • Not ideal for: businesses that need per-row access control or ad hoc SQL exploration across joined tables.

Tradeoffs: Databox is the fastest path from app logins to a KPI dashboard, but the Free and Analyst plans cannot share, so a team that wants to show numbers to anyone else starts at $199 a month. Compare Databox alternatives.

Power BI

Best for: small businesses already on Microsoft 365 whose finance work happens in Excel.

Power BI Pro is a low-cost per-user license, and Power BI is strongest with Excel, SharePoint, SQL Server, and Dynamics data, and it supports row-level security on imported and DirectQuery models.

  • Pricing (as of October 2026): Free (personal use only), Pro $14 per user per month and Premium Per User $24 per user per month, paid yearly (pricing).
  • Free tier or trial: the free license can’t share or collaborate with others.
  • Deployment: cloud; on-premises through Power BI Report Server, which is licensed through capacity or SQL Server Enterprise and rarely practical for a small business.
  • Data sources: Microsoft’s connector list includes Excel, CSV, Google Sheets, Google Analytics 4, BigQuery, Salesforce, PostgreSQL, and MySQL. QuickBooks Online, Xero, Shopify, HubSpot, and Stripe are not on it and need third-party connectors.
  • Query model: import with scheduled refresh, or DirectQuery. Pro is limited to eight scheduled refreshes per day; Premium Per User allows 48.
  • Row-level security: RLS roles.
  • SSO and SCIM: authentication runs through Microsoft Entra ID.
  • AI features: Copilot needs a paid Fabric F2+ or Premium P1+ capacity; Pro alone does not include it. The older Q&A natural-language feature is being retired in February 2027.
  • Sharing and embedding: every person who views shared content needs Pro or PPU unless it sits on F64 or P1+ capacity. Email subscriptions need Pro. Publish to web creates a public link with no authentication.
  • Not ideal for: businesses on Google Workspace or Mac-only teams, and anyone who wants AI chat without buying capacity.

Geckoboard

Best for: sales, support, and ecommerce teams that want live KPI screens on an office TV and in Slack.

Geckoboard is built around simple, glanceable dashboards for wall screens. Every plan includes unlimited viewers, share links, and TV screens, and scheduled snapshots post to Slack, Microsoft Teams, or email.

  • Pricing (as of October 2026): Essentials from $99/mo monthly or $79/mo annually (2 dashboards, 1 editor, 1 screen); Performance from $399/mo or $319/mo annually (20 dashboards, 3 editors, 5 screens); Enterprise by quote (pricing). Extra Essentials dashboards are $24 each and extra editors $20 each, billed annually.
  • Free tier or trial: 14-day trial; no free plan.
  • Deployment: software-as-a-service only.
  • Data sources: 90+ integrations, including Google Sheets, Excel, QuickBooks Online, Shopify, HubSpot, Stripe, GA4, Google Ads, Facebook Ads, Salesforce, PostgreSQL, MySQL, and Snowflake. Xero and BigQuery are not listed.
  • Query model: each connector is polled on its own interval, such as 10 minutes for QuickBooks Online and 20 minutes for GA4 (refresh rates). SQL queries refresh every 3 minutes to 12 hours, with a 15-second execution limit.
  • Row-level security: not documented; view-only users can be invited per dashboard.
  • SSO and SCIM: SAML SSO requires Enterprise; SCIM is not documented.
  • AI features: a Metrics MCP server on every plan lets Claude or ChatGPT read metrics from about 17 supported sources. No in-product AI summaries or anomaly detection are documented. Threshold alerts to Slack or Teams start on Performance.
  • Sharing and embedding: share links embed in an iframe; white-labeling is not supported.
  • Not ideal for: analysis. Geckoboard shows current numbers well but is not built for drilling into why they changed.

Tradeoffs: the dashboard and editor caps on Essentials are tight; a team with more than two screens’ worth of metrics moves to Performance quickly.

Klipfolio PowerMetrics

Best for: small teams that want a catalog of defined metrics with goals, forecasts, and a mix of app and warehouse data.

Klipfolio’s newer product, PowerMetrics, now runs at powermetrics.app. It is metric-first: you define a metric once, then reuse it across dashboards. Klipfolio still sells its older Klips dashboard product separately on klipfolio.com/pricing, starting at $120 per month annually for 3 dashboards with unlimited users.

  • Query model: app data comes in through “data feeds” refreshed every 4 hours on Launch and every hour on Professional. Data warehouse integration, which queries the warehouse without copying data, starts on Professional.
  • Row-level security: not documented; metrics are shared with users or groups.
  • SSO and SCIM: SAML SSO as a $69/mo add-on or on Custom; SCIM is not documented.
  • AI features: the AI Assistant (beta) answers plain-language questions and builds charts; forecasts and normal ranges are on Professional or an add-on.
  • Sharing and embedding: published views (public or passcode-protected, TV-ready) on Professional; live embedding is in preview.
  • Not ideal for: teams that want data refreshed more than every few hours without paying for Professional.

Tradeoffs: the per-user minimums keep the entry price low, but the features that differentiate PowerMetrics (warehouse queries, forecasts, published views) are on Professional.

Metabase

Best for: small businesses with a Postgres or MySQL database and someone comfortable with basic SQL.

Metabase is an open source BI tool that you can self-host or buy as Metabase Cloud. It queries your database live, its question builder lets non-technical users filter and group without SQL, and Metabot is available on every plan, including open source.

  • Deployment: Metabase Cloud or self-hosted.
  • Data sources: native database connectors for PostgreSQL, MySQL, BigQuery, Snowflake, and more; CSV uploads up to 50 MB; Google Sheets sync on Metabase Cloud with the storage add-on. Stripe, HubSpot, Shopify, and similar apps must first be synced into a database with an ETL tool.
  • Query model: live queries against your database; caching controls are Pro and Enterprise.
  • Row-level security: row and column security on Pro and Enterprise only.
  • SSO and SCIM: SAML and SCIM on Pro and Enterprise.
  • AI features: Metabot on all plans; Metabase’s AI service costs $3.75 per 1M tokens after the first 1M, or self-hosted users bring their own API key. An MCP server is available on all plans.
  • Sharing and embedding: admin-created public links; dashboard subscriptions by email or Slack, even to people without accounts; guest embedding with signed JWTs on open source.
  • Not ideal for: businesses whose data is only in SaaS apps, because Metabase needs a database to read from.

Julius AI

Best for: one owner or analyst who wants to upload a spreadsheet, ask questions in plain English, and get charts.

Julius is an AI data analysis tool rather than a dashboard platform. You upload CSV or Excel files, paste a Google Sheets link, or connect a database, and Julius writes and runs SQL or Python to answer questions. It can also build interactive dashboard artifacts and publish them as public links.

  • AI features: chat-based analysis is the product; every plan uses it, limited by credits.

  • Not ideal for: a team that needs always-on dashboards with shared definitions and per-user permissions.

Basedash

Best for: small companies with a production database or warehouse that want non-technical staff to ask questions in chat and share the answers as dashboards.

Basedash is an AI-native BI tool: you ask a question in chat, it writes the SQL against your database, and you can save the result to a dashboard or have it generate a whole dashboard from a prompt. It connects directly to Postgres, MySQL, BigQuery, Snowflake, and Supabase, and syncs SaaS apps through included Fivetran-powered connectors into a managed warehouse.

  • Pricing (as of October 2026): Startup $1,000 per month plus AI usage, with up to 25 users and $1,000 per month of AI credits included; Enterprise custom (pricing, plan details). Usage above the included credits is billed on the next invoice.
  • Free tier or trial: 14-day trial with no credit card; no free plan.
  • Deployment: cloud; self-hosting on Enterprise.
  • Data sources: databases and warehouses are queried directly. Google Sheets, QuickBooks, Xero, Shopify, HubSpot, Stripe, GA4, and 750+ other SaaS sources sync through Fivetran-powered connectors into Basedash Warehouse, a managed DuckDB warehouse. Direct CSV upload is not supported.
  • Query model: live queries for connected databases; synced SaaS data; dashboards refresh every 15 minutes by default.
  • Row-level security: supported for Postgres databases, not gated to Enterprise.
  • SSO and SCIM: SSO and SCIM on Enterprise.

  • Sharing and embedding: view-only public dashboard links that need no Basedash account; scheduled dashboard snapshots by email or Slack; customer-facing embedding on Enterprise.
  • Not ideal for: a five-person shop on a $100 monthly budget, or a business whose data is only in spreadsheets it wants to upload.

Tradeoffs: Basedash costs more than every other paid entry plan here, so it makes sense when 10 to 25 people will use it and the AI analyst replaces analyst hours, not when one owner wants a revenue chart. Row-level security covers Postgres only.

Which dashboard software should a small business choose?

If your budget is close to zero: use Data Studio for Google data, or the Zoho Analytics free plan for two users. Self-hosted Metabase is free too, but only if someone can run a server and you have a database.

If your numbers live in QuickBooks, Xero, Shopify, HubSpot, or Stripe: Zoho Analytics Standard ($48/mo annually) has native connectors for all of them at the lowest price. Databox is faster to set up and adds AI summaries, but sharing starts on the Team plans. PowerMetrics covers the same apps with a metric catalog.

If you want KPIs on an office TV or in Slack: Geckoboard includes TV screens, unlimited viewers, and Slack snapshots on every plan. Databox Team plans offer TV mode too.

If you are a Microsoft 365 business: Power BI Pro at $14 per user is the natural choice, as long as every viewer gets a license and you can live with eight refreshes a day.

If you have a Postgres or MySQL database: Metabase Starter is the cheapest live-query option for five users. Basedash is the option for teams that want staff to ask questions in plain English and that need more than a handful of users without per-seat pricing.

If you need to show each manager or client only their own rows: Power BI, Data Studio, Zoho Analytics, Metabase Pro, and Basedash (Postgres) document row-level controls. Databox, Geckoboard, PowerMetrics, and Julius do not document row-level security. Our row-level security comparison goes deeper.
